How you know every check really happened

Rounds, truck checks and supervisor visits: the difference between a promise and a record, and what to ask your security company for.

Every security company says its officers do their rounds. The real question is how you'd know if they didn't.

Here's what proof looks like at a warehouse, the difference between a promise and a record, and what to ask for.

A promise, a paper log, or a record?

What should be on record.

  • Every truck check. The time, the truck, whether it matched your records, and what happened if it didn't.
  • Every visitor. Who, and when they signed in and out.
  • Every round. The time and the area: fence line, trailer rows, docks, inside.
  • Every supervisor visit. When it happened and what was found.
  • Every incident. Written up the same shift and locked.
  • Coverage. Who was on post, from when to when. A post that sat empty for an hour shows up.

Why a paper log isn't proof.

A paper log tells you what someone wrote down. It doesn't tell you when they wrote it. The fence line marked โ€œwalkedโ€ at 1, 2, 3 and 4 AM may have been filled in at 5:55.

That isn't always dishonesty. It's what happens when nobody can see the log until morning. When every check goes on record as it happens, the shortcut stops being an option.

What to ask your security company for.

  • โ€œShow me last night's rounds, with times.โ€ By area, not a single line that says โ€œrounds completed.โ€
  • โ€œShow me a round that was missed.โ€ A company with a real record can show you the gaps too.
  • โ€œCan I see it right now?โ€ If you have to wait for a report, you're seeing the past.
  • โ€œWhat happens when a round is missed?โ€ Someone should notice that night, not next month.
  • โ€œWho was on post, from when to when?โ€ So you know the hours you pay for were covered.

Can you prove last night happened?

Five questions. Answer each one.

  • 01 Can you see the time of every round from last night?

  • 02 Can you see every truck that was checked, and which ones didn't match?

  • 03 Would a skipped round show up without anyone telling you?

  • 04 Can you see when the supervisor last visited?

  • 05 Could you hand last night's record to your insurer today?

Answer the five questions.

What it looks like with Galaxy.

Incidents are written up and locked. You can see each officer's license and certification status. And there's nothing to buy or install: you just look.

You know who is on site, and when they left.

  • Live, any time

Watch it as it happens, from your phone or laptop.

  • A morning summary

The night, in your inbox before your first meeting.

  • Incidents on record

Written up and locked, ready for your insurer.

  • The owner on the line

A direct line to the owner. Not a call center.

Questions managers ask.

How do I know if my security guard is doing rounds?

Ask for last night's rounds with times, by area, and look for gaps. If the only record is a paper log filled in at the end of the shift, you can't tell.

What is proof of presence in security?

A record showing an officer was at a specific spot at a specific time, made as it happened rather than written later. It's how you tell a round that happened from one that was only written down.

What is coverage compliance for security guards?

Whether every post was staffed for every hour you're paying for. A good record shows who was on post and from when to when, so an empty post doesn't go unnoticed.

Do we need to install anything to see the records?

No. With Galaxy there's nothing to buy or install. You watch from your phone or laptop.
